Charter Bus Reservations
Departments can request Charter Bus services for Loyola-sponsored events. Every effort will be made to accommodate the Charter request with University drivers and buses; if we are unable to fulfill the Charter request in-house, we will search for the most economical 3rd party provider to fulfill the request.
Cost
University buses are available for one day charters within a 100 mile radius of the campus. University drivers are not authorized for overnight trips per DOT regulations.
Charters fulfilled within existing staffing and equipment have no charge to the requesting department. Driver overtime and any 3rd party provider used to fulfill a charter request will be passed along to the requesting department. While we can give estimates on trips, billing is done by exact times. After the charters are successfully completed, a budget adjustment form will be sent to the sponsoring department for the charges.
Arrival Time
Buses will arrive 15 minutes prior to departure at the appointed pickup location to allow for passenger loading.
Request a Charter
In order to provide the best service possible, the online form must be submitted at least 14 business days prior to the date of your charter. Charter requests made with fewer than 14 business days' notice are not guaranteed to be fulfilled. Our department and our 3rd party partners have little scheduling flexibility which is the reason for the 14 business days rule.
Once a charter is submitted, you will see the status of the request under reservations. Each request submitted has a specific ID number which may be used as a reference. In order for a charter request to be considered, specific information such as date, time, and budget number must be filled out properly. Any changes to a charter after being submitted are not guaranteed.
